Effective date: October 2026

These Terms and Conditions govern your use of the SmartLead Care website and any enquiry, audit, proposal or service provided by SmartLead Care.

By using this website or submitting a form, you agree to these Terms and Conditions.

1. About SmartLead Care

SmartLead Care provides website development, enquiry organization, CRM configuration, lead follow-up workflow and related digital support services for clinics and healthcare or wellness businesses.

Website: https://smartleadcare.com
Email: support@smartleadcare.com
Business address: Ranchi, Jharkhand, India, 834004

2. Website purpose

The website provides general information about SmartLead Care’s services. Content on the website does not constitute:

  • Medical advice
  • Legal advice
  • Financial advice
  • A guaranteed business result
  • A binding service commitment
  • A substitute for a written proposal or service agreement

Submitting an audit or contact form does not automatically create a paid service relationship.

3. Eligibility and authority

You must be at least 18 years old to submit a business enquiry.

If you submit information on behalf of a clinic or another organization, you confirm that you are authorized to provide that information and communicate with SmartLead Care on its behalf.

4. Free audit requests

A free lead-process audit may include a general review of:

  • Your current enquiry journey
  • Website and appointment-form observations
  • Missed or delayed follow-up risks
  • CRM or workflow recommendations
  • A suggested first-phase implementation

The depth, format and availability of the free audit may vary. A free audit does not include full implementation unless confirmed separately in writing.

5. Service scope

The exact service scope, deliverables, timeline, fees and support arrangements will be stated in the relevant proposal, quotation, invoice or written agreement.

Services may include:

  • WordPress website or landing-page setup
  • Appointment enquiry forms
  • HubSpot CRM setup
  • Contact and deal pipelines
  • Email notifications
  • Follow-up tasks and reporting
  • Website maintenance
  • Future messaging automation, where separately agreed

Features not expressly included in the agreed scope are considered additional work and may require a separate quotation.

6. Third-party services and charges

SmartLead Care services may depend on third-party platforms such as WordPress, HubSpot, website hosts, domain registrars, email providers, WhatsApp service providers, SMS providers or advertising platforms.

Unless expressly included in writing, the following may be charged separately:

  • Domain registration
  • Website hosting
  • Premium plugins or software licences
  • HubSpot paid features
  • WhatsApp or SMS messaging charges
  • Advertising spend
  • Email-delivery services
  • Third-party integrations
  • Taxes and government charges

Third-party services are also governed by the provider’s terms, pricing, availability and policies.

7. Client responsibilities

The client is responsible for:

  • Providing complete and accurate business information
  • Reviewing and approving website content
  • Providing lawful access to required platforms
  • Maintaining control of its CRM and business accounts
  • Ensuring staff use the system appropriately
  • Responding to patient enquiries
  • Obtaining any necessary patient communication consent
  • Complying with healthcare, advertising, privacy and communication laws
  • Maintaining appropriate medical and patient records outside general enquiry forms
  • Avoiding submission of unnecessary sensitive medical information

SmartLead Care is not responsible for inaccurate information, delayed approvals, unavailable third-party accounts or the client’s failure to follow up with an enquiry.

8. No guarantee of results

SmartLead Care helps organize enquiries, follow-ups and reporting. We do not guarantee:

  • A particular number of leads
  • Appointment bookings
  • Patient visits
  • Treatment acceptance
  • Advertising performance
  • Search-engine rankings
  • Revenue or profit
  • Business growth

Results depend on factors outside our control, including demand, location, reputation, pricing, staff response time, service quality, competition, advertising budget and patient decisions.

9. Phone and WhatsApp enquiries

Unless a written proposal states otherwise, the initial setup automatically captures website-form enquiries only.

Phone calls and WhatsApp enquiries may need to be entered into the CRM manually by clinic staff. Automated WhatsApp messages, chat synchronization, SMS delivery or call tracking are not included unless specifically agreed.

10. Fees and payments

Fees, payment schedules and applicable taxes will be stated in the relevant proposal or invoice.

Work may begin after receipt of the agreed advance payment and required content or access. SmartLead Care may pause work or support where an invoice remains overdue.

Because services may involve time, configuration and digital work, cancellation and refund eligibility will be determined by the signed proposal, invoice terms and the amount of work already completed.

11. Timelines and client delays

Any delivery date is an estimate unless expressly confirmed as a fixed deadline.

Timelines may change because of:

  • Delayed content or approvals
  • Missing access credentials
  • Requested scope changes
  • Third-party platform issues
  • Plugin, hosting or API limitations
  • Events beyond reasonable control

Client delays may require the project schedule to be revised.

12. Intellectual property

SmartLead Care retains ownership of its pre-existing processes, templates, code libraries, methods, documentation and general know-how.

After full payment, the client may use completed custom deliverables according to the applicable proposal or agreement.

The client confirms that it has permission to use all logos, photographs, testimonials, text, trademarks and other materials supplied to SmartLead Care.

Third-party software, fonts, plugins and stock assets remain subject to their respective licences.

13. Confidentiality and data handling

Each party should protect confidential business information received from the other party and use it only for the agreed service purpose.

Personal information will be handled according to the SmartLead Care Privacy Policy, Data Handling Statement and applicable service agreement.

The client should not send detailed medical records or unnecessary sensitive patient information unless a secure and specifically approved process has been established.

14. Website availability and maintenance

We aim to provide reliable services, but we cannot guarantee uninterrupted availability of websites, hosting, APIs, CRM services, email delivery or third-party platforms.

Maintenance, security incidents, network failures or provider changes may temporarily affect availability.

Ongoing maintenance and technical support are included only where stated in the relevant package or agreement.

Any direct liability will be subject to the limitations stated in the applicable written service agreement.

17. Suspension and termination

SmartLead Care may suspend or terminate access to a service where:

  • Payments remain overdue
